Introducing StudyFlow: A New Pathverse Tool to Simplify Research Study Management
We’re pleased to introduce StudyFlow, Pathverse’s new platform for managing research participants and study workflows. Developed around the practical challenges of running research, StudyFlow brings screening, consent, surveys, scheduling, and participant tracking into one workspace.
Addressing the Challenges of Study Management
Research teams often use several tools to conduct a single study:
Surveys: SurveyMonkey, Qualtrics, or REDCap.
Participant intake: Google Forms.
Appointments: A separate scheduling platform.
EMA and digital interventions: Pathverse App Builder.
Study tracking: An Excel spreadsheet connecting these activities.
Managing information across these tools creates several challenges:
Time-consuming updates: Teams must update multiple systems and check that records are consistent.
Staff and student turnover: Important procedural knowledge can be lost when team members leave.
Data-entry errors: Manual tracking increases the risk of incorrect records and missed follow-ups.
Difficult reporting: Preparing a CONSORT diagram can require reviewing multiple records to count participants screened, enrolled, assigned to groups, and retained at follow-up.
StudyFlow was developed to simplify this work by bringing study activities and participant progress into one shared, structured workflow.
How StudyFlow Works
StudyFlow allows researchers to create workflows that reflect their study protocol and populate them with tasks for participants and research staff. Participant tasks might include completing an eligibility questionnaire, providing consent, answering a survey, or booking an appointment. Researcher tasks might include completing a checklist during an in-person visit, recording study-group assignment, or documenting an incentive payment.
Workflows can accommodate different study groups and follow-up schedules, with activities becoming available when the relevant conditions are met. This provides a standardized process for the team to follow while keeping participant activities and researcher responsibilities together.

Researchers can view progress across the study or open an individual participant’s record to review completed and outstanding activities. This helps teams understand recruitment progress, identify participants who need follow-up, and coordinate their day-to-day work. It also gives incoming team members a clearer process to follow when taking over study responsibilities. Learn more about how StudyFlow works.
Features Developed for Research Teams
Scheduling and recruitment tracking have been two of the most frequently requested capabilities from researchers working with Pathverse. Coordinating appointments, tracking eligibility, and managing follow-ups can take substantial time, particularly when participants enter a study on different dates.
StudyFlow supports participant appointment booking and time-based activities, allowing teams to organize assessments and follow-ups around each participant’s study timeline. Recruitment records help researchers follow participants from initial screening through enrolment and later study stages, making it easier to monitor progress and maintain information for participant-flow reporting.
Other features include screening questionnaires, consent forms, surveys, group-specific activities, researcher checklists, study notes, and compensation records. Together, these tools help teams maintain a consistent record of study procedures and participant progress.
We are continuing to develop StudyFlow and add features based on feedback from researchers using the platform.
We’re excited to share StudyFlow with the research community. The platform is free to use with its current set of features, and we welcome feedback to help guide its continued development. We hope StudyFlow will make study management more manageable for research teams, from enrolling the first participant to completing the final follow-up.
